Privacy Policy — Trixon Tech Private Limited
Trixon Tech Private Limited (“Trixon Tech,” “we,” “us,” or “our”) respects your privacy and is committed to protecting it. This Privacy Policy explains what personal data we collect through our website (the “Site”) and SaaS product (together with the Site and our related services, the “Product”), how we use, share, and protect it, and the choices and rights available to you. This Policy forms part of, and should be read together with, our Terms of Use, Terms of Service, and Refund & Cancellation Policy.
Trixon Tech Private Limited is the data controller (in India, the “Data Fiduciary”) for the personal data described in this Policy, except where we process Customer Data on your behalf as described in Section 1.3.
By using the Product, you consent to the collection and use of your information as described in this Policy. Where applicable law requires separate or explicit consent for a particular purpose (for example, non-essential cookies or marketing), we will ask for it separately.
1. Information We Collect
1.1 Information You Provide
When you create an account, subscribe, or contact us, we may collect your name, email address, phone number, billing/company details (including GSTIN, where applicable), job title, login credentials, and any information you submit through forms, quote or proposal requests, support requests, surveys, reviews, testimonials, or feedback. We also keep records of our correspondence with you and your marketing preferences. If you apply for a job with us, we collect the information in your application (see Section 15).
1.2 Payment Information
When you make a payment, our payment gateway partners (Razorpay, PayU, Stripe, and Cashfree) collect and process your card, UPI, or bank details directly. We do not store your full payment credentials on our own systems. We receive information about the transaction (such as payment status, amount, and a transaction reference) and may store a token or mandate reference issued by the gateway so that we can activate your subscription, process renewals, issue invoices, and handle billing issues.
1.3 Customer Data
Data, content, and files you upload to or generate using the Product (“Customer Data”), including the outputs produced for you, is collected and processed as described in our Terms of Use, and is used solely to provide, maintain, secure, and improve the Product. You retain ownership of your Customer Data. Customer Data may include personal data about you or other people. For that data, you decide what to submit and why, and we process it on your behalf; you are responsible for having a lawful basis, and any notices and consents required by law, for the personal data you put into the Product.
1.4 Usage and Device Information
We automatically collect certain information when you use the Product, including your IP address (from which we may derive your approximate location), browser type, device and operating system information, log data (such as date and time stamps and error reports), pages visited, features used, and usage patterns, through cookies and similar technologies (see Section 5).
1.5 Information From Other Sources
If you sign in with, or connect, a third-party account or service, we receive the information that service makes available to us based on your settings and permissions (for example, your name, email address, and profile picture). We may also receive business contact details and professional information from public sources and business partners, and payment status information from our payment gateway partners.
1.6 Sensitive Information
We do not require you to provide sensitive personal data (such as passwords of other services, health information, biometric data, or information about racial or ethnic origin, religion, political opinions, or sexual orientation) to use the Product, and we ask that you do not submit it unless it is genuinely necessary and you have the right to do so. Certain uses of the Product involving sensitive characteristics and biometric identifiers are restricted under Section 4 of our Terms of Use.
2. How We Use Your Information
We use the information we collect to:
- Create and manage your account and subscription, including free trials
- Process payments, renewals, and invoices, and send advance billing and renewal notices
- Provide, operate, maintain, secure, and improve the Product, including developing new features
- Analyze usage, diagnose problems, and understand how the Product is used
- Send transactional communications (confirmations, invoices, security alerts, service updates, and changes to our terms and policies)
- Send marketing communications, where you have opted in or where permitted by law, and which you may unsubscribe from at any time
- Respond to support requests, feedback, and inquiries, and deliver quotes, proposals, and consulting services
- Detect, investigate, and prevent fraud, abuse, chargeback abuse, security incidents, illegal activity, or violations of our Terms of Use
- Assess and process job applications
- Comply with applicable legal, tax, and regulatory obligations, and establish, exercise, or defend legal claims
3. Artificial Intelligence and Automated Processing
The Product is an artificial intelligence (AI) service. It uses artificial intelligence, machine learning, and other automated processing, including models and tools provided by third parties. To deliver these features, the content you submit (including Customer Data) may be processed by those third-party providers on our behalf. We seek to engage such providers under confidentiality and security obligations and to share only the information needed to provide the feature. We may also review Inputs and Outputs where reasonably needed to secure the Product, prevent abuse, investigate violations of our Terms, provide support you request, or comply with law. Please avoid including sensitive personal data in your Inputs unless it is necessary. AI-generated outputs can be inaccurate or incomplete, and you should review them before relying on them. Please also observe the restrictions on automated decisions and other uses of the Product set out in Section 4 of our Terms of Use.
4. Legal Basis for Processing
India. We process your personal data on the basis of your consent (for example, when you sign up or opt in to marketing), and for the other uses that the Digital Personal Data Protection Act, 2023, and other applicable Indian law permit without consent, such as complying with legal obligations, responding to lawful requests from authorities, and preventing fraud and security incidents. Where we rely on your consent, you may withdraw it at any time (see Section 9); withdrawal does not affect processing already carried out, and it may affect our ability to provide some parts of the Product.
European Economic Area, United Kingdom, and similar jurisdictions. Where the GDPR, UK GDPR, or similar laws apply, we process your personal data on the basis of: your consent (for example, non-essential cookies and marketing, where consent is required); the performance of our contract with you (for example, to provide the Product you subscribed to); our legitimate business interests (for example, to secure our systems, prevent fraud, and improve the Product), balanced against your rights; and legal obligations (for example, tax and regulatory recordkeeping).
5. Cookies and Tracking Technologies
We use cookies and similar technologies (such as pixel tags and local storage) to operate the Site, keep it secure, remember your preferences, understand how the Product is used, measure the effectiveness of our communications, and improve our services. These generally include essential cookies (log-in, security, core functionality), preference cookies, analytics and performance cookies (which may be provided by third-party analytics services), and, where used, marketing cookies. You can control or disable cookies through your browser settings; however, some features of the Site or Product may not function properly without them. Where required by law, we will ask for your consent before setting non-essential cookies. We do not currently respond to browser “Do Not Track” signals.
6. How We Share Your Information
We do not sell your personal data. We may share it with:
- Payment gateway providers (Razorpay, PayU, Stripe, Cashfree), banks, and card networks to process payments and refunds, and to investigate or respond to disputes and chargebacks
- Service providers and sub-processors who help us operate the Product (e.g., cloud hosting, analytics, email delivery, customer support tools, security and fraud-prevention services, and AI providers as described in Section 3), under confidentiality obligations
- Third-party services you connect to the Product, or other parties you direct us to share information with, to the extent needed to carry out your instruction
- Professional advisers such as auditors, accountants, and lawyers, under duties of confidentiality
- Government or regulatory authorities, courts, or law enforcement, where required by law, legal process, or to protect our rights, or in connection with suspected illegal activity as described in our Terms of Use
- A successor entity, in connection with a merger, acquisition, financing, or sale of business assets
- Other parties, with your consent, for any purpose you authorize
We may also share aggregated or de-identified information that does not identify you.
7. Data Storage and Security
We implement reasonable technical and organizational measures — including access controls, encryption in transit, and secure hosting — to protect your personal data against unauthorized access, alteration, disclosure, or destruction, consistent with the Information Technology Act, 2000, and the rules made under it. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential and for notifying us immediately at info@trixontech.io if you suspect unauthorized access to your account. If a personal data breach affects you, we will notify you and the relevant authorities as required by applicable law.
8. Data Retention
We retain your personal data for as long as your account is active and as necessary to provide the Product, comply with our legal and tax obligations, resolve disputes, and enforce our agreements. In particular:
- Customer Data: following account cancellation or termination, we may retain Customer Data for a limited period, generally up to 90 days, to allow reactivation and to handle billing or legal matters, after which it is permanently deleted or anonymized, except where longer retention is required by law. Copies in backups are removed in the normal course of our backup cycle. We recommend exporting any data you wish to keep before cancelling.
- Billing and tax records: kept for as long as required under applicable tax, accounting, and corporate laws, which in India can be several years.
- Support records and job applications: kept for a reasonable period needed for the purpose for which they were collected.
- Legal and security holds: where we suspect illegal activity or a violation of law, or need data for legal claims or investigations, we may preserve relevant data for as long as reasonably necessary, as described in Section 8.6 of our Terms of Use.
9. Your Rights
Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate or incomplete data
- Request erasure of your personal data, subject to our legal and contractual retention needs
- Withdraw consent to processing based on consent, without affecting processing already carried out
- Nominate another individual to exercise your rights in the event of your death or incapacity
- Lodge a grievance with our Grievance Officer (Section 16), and, where unresolved, with the relevant data protection authority (in India, the Data Protection Board of India, where applicable)
To exercise these rights, contact us at info@trixontech.io from your registered email address. You can also update much of your account information, and cancel or delete your account, from your account settings. You may withdraw your consent at any time, and we will make this as easy as it was to give it, for example by writing to us at the email above or through your account settings. We may need to verify your identity before acting on your request, and we aim to respond within 30 days. We may decline a request where permitted by law, for example where we are required to retain the information or where it would affect the rights of others.
You can opt out of marketing emails at any time using the unsubscribe link in the message or by contacting us. We may still send you service and administrative messages, such as billing notices and security alerts.
10. Additional Information for Users Outside India
EEA, UK, and Switzerland. If you are in the European Economic Area, the United Kingdom, or Switzerland, you also have the rights of restriction, portability, and objection, and the right to lodge a complaint with your local data protection authority, in addition to the rights in Section 9.
California and other US states. If you are a resident of California or another US state with a comprehensive privacy law, you may have the right to know what personal information we collect, use, and disclose, to request access, correction, or deletion, and not to be discriminated against for exercising your rights. The categories of personal information we collect are described in Section 1, the purposes for which we use it in Section 2, and the categories of recipients in Section 6. We do not sell personal information, and we do not share it for cross-context behavioral advertising. To make a request, contact us as described in Section 9; you may use an authorized agent, subject to verification.
11. Children’s Privacy
The Product is not directed at, and we do not knowingly collect personal data from, individuals under the age of 18. If we become aware that we have collected personal data from a minor without appropriate consent, we will take steps to delete it. If you believe a child has provided us with personal data, please contact us at info@trixontech.io.
12. International Data Transfers
Where our service providers (such as payment gateways, hosting, AI, or analytics providers) are located outside India, or where you access the Product from outside India, your personal data may be transferred to and processed in other countries, which may have data protection laws that differ from those of your country. We take reasonable steps to ensure such transfers are subject to appropriate safeguards, such as contractual protections (including standard contractual clauses where required), consistent with applicable law.
13. Third-Party Links and Integrations
The Site or Product may contain links to, or integrations with, third-party websites or services. This Privacy Policy does not apply to those third parties, and we are not responsible for their privacy practices. When you connect a third-party service to the Product, the information exchanged is also subject to that party’s own terms and privacy policy. We encourage you to review their privacy policies before providing them with any information.
14. Marketing and Electronic Communications
By providing your email address or phone number, you agree that we may contact you electronically for order-related, service, and administrative communications. If you opt in, or where otherwise permitted by law, we may also send marketing communications such as newsletters and promotional offers, which you may stop at any time as described in Section 9.
15. Job Applicants
If you apply for a role with us, we use the information you provide (such as your resume, work history, qualifications, and contact details) to evaluate your application, communicate with you, and manage our recruitment process. We may share it with service providers that support our recruitment. Please do not include sensitive information in your application unless we specifically ask for it.

The Grievance Officer will acknowledge complaints within 72 hours of receipt and aim to resolve them within 15 days of receipt, and in any case within the time prescribed by applicable law.
17. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or regulatory reasons. The updated Policy will be posted on the Site with a revised “Last updated” date. If we make material changes, we will make reasonable efforts to notify you, for example by email or a notice on the Site, and where the law requires your consent to a change, we will seek it. Your continued use of the Product after such changes constitutes your acceptance of the updated Policy, to the extent permitted by law.
18. Governing Law
This Policy is governed by the laws of India, and any dispute relating to it is subject to Section 30 (Governing Law and Dispute Resolution) of our Terms of Use. This does not affect any non-waivable rights you may have under the data protection or consumer protection laws of your jurisdiction.
